The resource

Workflow:
1. Receive internal question.
2. Classify question type and urgency.
3. Retrieve candidate documents or SOPs.
4. Rank sources by relevance and freshness.
5. Draft answer using only retrieved material.
6. Attach citations or source references.
7. If confidence is low or sources conflict, escalate.
8. Log unanswered questions for knowledge-base improvement.
Rules:
- Never answer from generic model memory when the workflow expects internal sources.
- Quote or cite the source where useful.
- Escalate when retrieval is weak or contradictory.When to Use This
Use this when teams keep asking repeat internal questions in Slack, email, or chat and the answers already exist somewhere, just badly distributed.
It is a good fit for ops, enablement, IT, onboarding, and internal support workflows where retrieval quality matters more than fluency.
Why It Works
The workflow works when retrieval is treated as first-class, not as an afterthought. The model should answer from the right internal sources, not from its generic prior knowledge.
The unanswered-question log is also important because it turns failure into library improvement rather than silent drift.
How to Customise
Swap in your actual document store, retrieval logic, and escalation path.
If some documents expire quickly, add freshness weighting so stale policy pages do not outrank newer material.
Limitations
This is only as good as the retrieval and document quality around it. Bad docs create bad answers faster.
Sensitive HR, legal, finance, or security topics still deserve explicit escalation rules and human oversight.
Model Notes
Claude tends to produce more careful grounded answers when retrieval context is large.
GPT is useful when the workflow relies on function calling and rigid tool outputs. Model-agnostic overall if retrieval quality is strong.
